1. Privacy Policy

Umoja Global Staffing Solutions (“Umoja”, “we”, “us”) respects your privacy. This policy explains what personal information we collect, why we collect it, how we store it, who we may disclose it to, and how you can access or correct it.

What we collect

From employers and business contacts: name, business name, position, work email, phone number, worksite location, and details of your staffing requirements.

From candidates and workers: name, contact details, address or suburb, work eligibility and visa conditions, qualifications and licences, employment history, referee details, availability, and the results of applicable background or screening checks.

Why we collect it

• To respond to your enquiry and communicate with you about relevant staffing services
• To assess a candidate’s suitability and match them to a role
• To verify that applicable checks, licences and work rights are current
• To arrange, confirm and administer placements, timesheets and payment
• To meet our legal, licensing and record-keeping obligations as a licensed labour hire provider

How we store it

Personal information is stored in secure business systems with access limited to people who need it to perform their role. We take reasonable steps to protect information from misuse, loss, and unauthorised access, modification or disclosure. We retain records for as long as required for the purpose collected and for any period required by law.

Who we may disclose it to

• Host employers and clients, where relevant to a placement or proposed placement
• Referees you have nominated
• Screening and background-check providers
• Our service providers, including recruitment, payroll and IT systems
• Government agencies, regulators or insurers where required or authorised by law

We do not sell personal information.

Access and correction

You may request access to the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details in section 8. We will respond within a reasonable period. If we cannot provide access or make a correction, we will explain why.

Complaints about privacy

If you believe we have mishandled your personal information, contact us first using the details in section 8 so we can try to resolve it. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

2. Candidate Collection Notice

This notice applies when you apply for work, register your availability, or are considered for a placement with Umoja.

• We collect your personal information directly from you, and sometimes from referees, screening providers or host employers.
• We collect it to assess your suitability for work, verify your eligibility and qualifications, arrange placements, and administer your engagement.
• If you do not provide the information we ask for, we may be unable to consider you for work or proceed with a placement.
• We may disclose your information to host employers, referees, screening providers, and our payroll and IT providers.
• Some roles require checks such as a National Police Check, NDIS Worker Screening Check or Working With Children Check. Where a check is required, we will tell you and seek your consent.
• You can access or correct your information, or ask a question about how we handle it, using the contact details in section 8.

• The content on this site is provided for general information about our services. It does not constitute legal, employment or industrial-relations advice, and should not be relied on as such.

6. Ethical Recruitment Statement

We are committed to fair and ethical recruitment practices and to preventing exploitation in our operations and supply chain.

• We never charge work seekers a fee to find, apply for, or be placed in work.
• We verify each worker’s right to work in Australia and observe any conditions attached to their visa.
• We pay workers in accordance with the applicable award, agreement or contract, and we do not make unlawful deductions.
• We do not tolerate forced labour, coerced labour, debt bondage, or the withholding of identity documents.
• We expect host employers to provide a safe workplace and to treat our workers in line with work health and safety obligations.
• Workers can raise concerns with us directly, without disadvantage, using the process in section 7.

Where a concern is raised, we investigate it and take appropriate action, which may include ending a placement or a client relationship.

7. Complaints and Feedback

If something has gone wrong, or you have feedback about our service, we want to hear about it.

How to raise a concern

Contact us by phone or email using the details in section 8. Please include what happened, when, who was involved, and what outcome you are seeking. You may raise a concern whether you are a client, a worker, an applicant, or a member of the public.

What happens next

• Acknowledgement — we aim to acknowledge your complaint within two business days.
• Review — we look into what happened and may contact you for more detail.
• Response — we aim to give you an outcome within 20 business days. If it will take longer, we will tell you why and keep you updated.
• Record — we record complaints so we can identify patterns and improve.

Raising a complaint will not disadvantage a worker’s access to future placements.

If you are not satisfied

You can contact the relevant external body, including Consumer and Business Services (SA) in relation to labour hire licensing, the Fair Work Ombudsman in relation to pay and conditions, the Office of the Australian Information Commissioner in relation to privacy, or SafeWork SA in relation to work health and safety.
